At ParkingLedger, we take your privacy seriously. This policy explains what information we collect, how we use it, and how billing information is handled when purchases are processed through Polar.
1. Information We Collect
We collect information you provide directly when creating an account, such as your name, email address, and authentication details. For managers, we also store parking spot configurations, tenant assignments, payment records, and related notes you enter into the system. We automatically collect basic technical and usage data such as browser type, device information, IP address, and pages visited to operate, secure, and improve our service.
2. Billing and Checkout Information
If you purchase a paid ParkingLedger plan, checkout and subscription billing may be handled by Polar. Polar and its payment processors may collect billing information such as your name, email address, billing address, business details, tax information, payment method details, and transaction metadata needed to complete the purchase. ParkingLedger may receive limited billing and order information from Polar, such as the product purchased, order or subscription status, amount, currency, billing contact details, and limited payment method metadata where available. We do not store full payment card numbers or card security codes.
3. How We Use Your Information
We use your information to provide and maintain ParkingLedger, authenticate your identity, enable parking spot management and tenant communication, provision paid features, manage subscriptions, send receipts and service notifications, prevent fraud, respond to support requests, comply with legal obligations, and improve our product. We do not sell your personal data.
4. Data Storage & Security
Your data is stored using service providers that help us run ParkingLedger, including Convex for backend infrastructure. We apply reasonable technical and organizational safeguards designed to protect your data in transit and at rest, and we restrict access to authorized personnel who need it to operate the service.
5. How We Share Information
We share personal information only when needed to operate the service, meet legal obligations, or protect ParkingLedger and our users. This can include sharing data with infrastructure providers, authentication providers, Polar for billing and subscription management, professional advisers, and authorities when required by law or to investigate fraud, abuse, disputes, or chargebacks.
6. Third-Party Payment Processing
When billing is handled through Polar, your transaction is also subject to Polar's Privacy Policy and Polar's Terms. Polar may act as merchant of record for supported purchases and may retain transaction records for tax, accounting, fraud-prevention, and compliance purposes. ParkingLedger receives only the information we reasonably need to activate and support your paid account.
7. Cookies and Similar Technologies
We use essential cookies and similar technologies to maintain your session, authenticate your identity, secure the service, and remember core settings. If you are redirected to a hosted checkout or billing portal, Polar or its service providers may also use cookies or similar technologies necessary to deliver those payment pages. You can configure your browser to block cookies, though this may affect functionality.
8. Data Retention
We retain personal information for as long as needed to provide the service, maintain business records, resolve disputes, enforce our agreements, and meet legal, tax, accounting, or fraud-prevention requirements. Billing records may also be retained by Polar under its own retention obligations and policies.
9. Your Rights
Depending on your location, you may have rights to access, correct, delete, export, or restrict certain personal information. You can update some account information directly in the product, and you can contact us to request help with privacy-related requests.
10. Changes to This Policy
We may update this privacy policy from time to time. We will notify you of any significant changes via email or through the application. Your continued use of ParkingLedger after changes are posted constitutes acceptance of the updated policy.
